Author Registration Terms and Conditions

Please ensure only one author per paper registers using this link. If additional authors would like to attend, please wait for general registration to open or you are at risk of being refunded. 

The author registration policy described here is effective immediately.

Only students may register at the student registration rate.

Each accepted paper should have at least one in person registration and be presented at the conference in-person. At least one author of conference papers (full, short, demo, resource, applied research tracks) must register for the main conference Monday - Wednesday. At least one author of pre-conference papers (tutorial, doctoral consortium, and workshop papers) must cover at least the associated tutorial day and workshop day, respectively. Each attendee is required to register for the conference using the appropriate dynamic rate that depends on the number of accepted work that they are the primary presenter of.  If an author has multiple accepted papers, he/she only needs to register once.

Papers without a valid accompanying registration may be excluded from the proceedings.

Student travel grant awardees will be provided with separate instructions and should not register using this form. Students that have won this award will be notified by 27th August. 

All speakers, presenters and organizers are expected to attend the conference in person. For exceptional reasons, if you are not able to attend in person to present, you may assign a proxy who must be in person. Please contact the organisers in such a case.

The registration system will automatically send you an email confirmation once the payment is processed. Further inquiries about the registration platform, payments and visa support letters should be submitted to academic.conferences@contacts.bham.ac.uk.

 

Cancellations and Refunds

General conference attendees: During the early bird registration period, registration will be eligible for a 100% refund; during the standard registration period, registrations will be eligible for a 50% refund up until 1st October. After 1st October, no refund will be possible. Refunds will be issued back to your credit card. In case of cancellations please contact academic.conferences@contacts.bham.ac.uk.

VISA Denial: If you are not an author and you are cancelling because you were denied a visa and you applied for your visa on or before 1 September 2023, we will transfer your registration to an online registration and refund you the difference in fees. If you are an author and are denied a visa we will transfer your registration to another person who will present the paper if possible, but will not provide any form of refund. Visa denial refund requests must be received one week prior to the conference starting with accompanying documents showing visa denial – email academic.conferences@contacts.bham.ac.uk for such requests. Applying for a visa after the above deadline and not getting an answer in time does not qualify you for a late refund.

Author cancellation: At least one author of each accepted paper (of any type) is required to attend the event and present the paper in-person. There will be no refunds for authors of Cancelled accepted papers (when no other co-author is registered).

 

ACM COVID-19 DISCLOSURE & LIABILITY WAIVER:

The Association for Computing Machinery (“ACM”) requires that any attendee or volunteer at the CIKM '23: the 32nd ACM International Conference on Information and Knowledge Management (the “Event”) review the following material on COVID-19 prior to attending the Event.

 

COVID-19 Safety Information. COVID-19 has been declared a worldwide pandemic by the World Health Organization. Evidence has shown that COVID-19 can cause serious and potentially life-threatening illness and even death. ACM urges each Event attendee or volunteer to review the Event venue’s safety protocols, should they be available, in advance of deciding whether to attend the Event. ACM cannot guarantee that its participants, volunteers, partners, or any others in attendance will not become infected with COVID-19. Obligation to Comply with COVID-19 Safety Measures. We ask and expect that all attendees and volunteers will follow any and all applicable recommendations of the Centres for Disease Control and Prevention and the World Health Organization concerning the need to isolate, quarantine, or take other steps to prevent spreading COVID-19.

 

Duty to Self-Monitor & Report. Participants and volunteers at the Event agree to self-monitor for signs and symptoms of COVID-19 and, contact ACM at conferencestaff@acm.org if you are diagnosed with COVID-19 within 10 days after participating or volunteering at the Event.

Liability Waiver and Release of Claims. I acknowledge that I derive personal satisfaction and a benefit by virtue of my participation and/or attendance at this Event and I willingly engage in this Event. In connection with the exposure, infection, and/or spread of COVID-19 at the Event, I hereby forever release, waive and discharge any and all liability, claims, and demands of whatever kind or nature against ACM and its affiliated partners and sponsors, including in each case, without limitation, its and their directors, officers, employees, volunteers and agents (the “Released Parties”), either in law or in equity, to the fullest extent permissible by law. This waiver includes damages or losses caused by the negligence, fault or conduct of any kind on the part of the Released Parties. This waiver includes, but is not limited to, death, bodily injury, illness, economic loss or out of pocket expenses, or loss or damage to property, which I, my heirs, assignees, next of kin and/or legally appointed representatives may hereinafter accrue on my behalf, which arise or may hereafter arise from my participation in the Event. Assumption of the Risk I acknowledge and understand the following:

 

Participation in this Event includes possible exposure to and illness from infectious diseases including but not limited to COVID-19. While particular rules and personal discipline may reduce this risk, the risk of serious illness and death does exist; and I hereby knowingly and freely assume all such risks related to illness and infectious diseases, such as COVID-19, even if arising from the negligence or fault of the Released Parties; and I hereby knowingly assume the responsibility of reviewing the Event venue’s safety protocols before deciding whether to attend the Event and acknowledge that the decision of whether to attend the Event is solely mine; and I hereby knowingly assume the risk of injury, harm and loss associated with the Event, including any injury, harm, and loss caused by the negligence, fault or conduct of any kind on the part of the Released Parties; and I hereby knowingly assume the risk of any COVID-19 related travel costs I may incur in connection with attendance at the Event, including, but not limited to, the costs associated with any mandatory quarantine regulations, cancelled travel, etc. Choice of Law and Forum I understand that the law of the State of New York will apply to this agreement and that the exclusive venue for any dispute arising out of this agreement shall be the State or Federal courts in New York. Acceptance of Waiver: I acknowledge that I have carefully read and fully understand all provisions of this release and waive my rights concerning liability as described above.

Virtual Conference Consent: Recordings of sessions, chats, questions, and answers may be captured and made available for later viewing. By registering for this event, you are granting permission to record your comments and questions during sessions. Please note: You cannot register for this event unless you give consent.

E-mail Opt-In: ACM does not sell, rent, or exchange email addresses of its members, conference attendees, etc. Conference attendees have the option of receiving announcements about new, improved and updated products and services available through ACM.

The CIKM2023 Conference will offer both a pre-conference (21-22 October) and the main conference (23 - 25 October).  You are welcome to attend the pre-conference or the main conference as stand alone events, or both.

 

Pre-Conference

The pre-conference will take place at the University of Birmingham from Saturday 21 - Sunday 22 October). This will be made up of tutorials, workshops, PhD Consortium and an Industry day. You can find details of these sessions on the programme tab on our website here. 

 

Main Conference

The main conference will take place at the Eastside Rooms, Birmingham from Monday 23 - Wednesday 25 October. This will be made up of several parallel sessions,. Session details will be made available shortly on the programme tab of our website.

Please note, if you have a Full Paper, an Applied Research Paper or a Short/Resource/Demo Paper accepted, you will need to register for the main conference.
